What This Policy Covers
This policy explains how ReelToText handles information when you use our public Instagram transcription tool. ReelToText processes public content with a guest allowance and a larger signed-in allowance.
Instagram Links and Media Processing
When you submit a public Instagram URL, Apify resolves it to a direct audio URL. ReelToText downloads the audio into temporary server memory and submits it to OpenRouter for transcription.
ReelToText does not download the full video, write media to application storage or build a library of submitted content. The in-memory audio buffer is discarded when the request completes or fails.
The generated transcript is returned to your browser and may be stored temporarily in a shared database cache so the same public Reel does not need to be processed again. Cached transcripts are not added to a private user history or associated with a ReelToText account.
Information We Process
We may process the following limited information:
- The public Instagram URL you submit.
- Your IP address for enforcing the one-transcript daily guest allowance.
- Your account identifier for enforcing the five-transcript daily signed-in allowance.
- Your account name and email address when a signed-in user submits a transcription request.
- Standard request information such as browser type, timestamps and error logs when server logging is enabled.
- Account or billing information only if you separately use an account-based or paid feature in the future.
We hash IP addresses and account identifiers before placing them in the daily limit store. Daily quota records contain the hash, quota type, UTC date and request count.
Service Providers
ReelToText uses service providers to operate the transcript workflow:
- Apify receives the submitted public Instagram URL and returns a direct audio URL.
- OpenRouter receives the extracted audio file to create the transcript and timestamps.
- Resend delivers an operational notification to the ReelToText owner after each transcription attempt that reaches the providers. The email may contain the submitted public URL, transcript or error, timestamps, hashed IP, browser user agent and signed-in account details.
- Hosting, analytics or error-monitoring providers may process standard technical request data if those services are enabled.
Each provider handles data under its own terms and privacy policy.
Cookies and Analytics
The transcript form does not require advertising cookies. The site may use necessary cookies for theme preferences, security and optional account features. Analytics runs only when it is configured by the site operator.
Data Retention
Audio is held only in server memory while it is transcribed and is not written to application storage. Regular cached transcripts and timed exports expire after 72 hours. ReelToText retains one designated public Demo Reel transcript without expiry so visitors can try the complete copy and download flow without creating repeated third-party processing cost. Guest IP quotas and signed-in account quotas reset by UTC date. Operational notification emails are retained in the owner's mailbox and by Resend according to their respective retention settings. Hosting and security logs may be retained for a limited operational period by the relevant infrastructure provider.
Public Content Only
ReelToText only supports publicly accessible content. Do not submit private content, links obtained by bypassing access controls or material you are not permitted to process.
Your Choices
You can avoid media processing by not submitting a link. If you have a privacy question or deletion request concerning information controlled by ReelToText, contact legal@reeltotext.com.
